Media eligibility requirements
Media access is considered and defined as follows below. Please note that we cannot accept applications for media credentials from representatives of media outlets that are not directly involved in journalism.
Journalists, photographers, videographers and community educators who are either employees of or on assignment for a recognized print, radio, broadcast or online consumer, medical, community-based or AIDS service organization-sponsored media outlet are eligible to apply for complementary media registration. Please note that for the purpose of media accreditation, the term, “community educator”, refers to anyone doing journalism for an AIDS service organizations (ASOs) or other community-based media outlets.
Communications support professionals attached to a recognized HIV research, advocacy or policy organization, whose work is directly related to supporting media coverage of presentations at IAS 2019 are not considered media and must register as a regular delegate. Media accreditation for this category is not guaranteed, but is granted on a case-by-case basis.
Visa information
It is the delegate’s responsibility to investigate the visa requirements for Mexico and apply for a visa, if necessary.
You may need a Mexican visa on your national passport to enter Mexico. This depends on your nationality. Visas must be applied for from the relevant Mexican embassy or consulate in the delegate’s country of residence.
Letter of invitation
Individuals requiring an official Letter of Invitation to be submitted to the embassy when applying for a visa can request one on the online registration form or by contacting the IAS 2019 Registration Department at [email protected].
Delegates, accompanying persons/children, student/post-doc/youth delegates and exhibitors must first register for the conference, pay in full and submit any required supporting documents (if applicable) before a Letter of Invitation is issued. Media representatives must first register for the conference, pay in full for any additional orders (if applicable), submit all required documents and get approval from the conference organizers before a Letter of Invitation is issued.
Parent/Guardian Consent Form
Delegates must be at least 18 years old to attend the conference on their own. All children/youth under the age of 18 must be registered as accompanying children and be accompanied by an adult who is registered for the conference in order to attend. In addition, a Parent/Guardian Consent Form must be completed for each accompanying child and submitted to the IAS 2019 Registration Department.
The accompanying child must bring a copy of the completed Parent/Guardian Consent Form to the conference and carry it at all times. Accompanying children must be with the main delegate or an accompanying adult of that delegate at all times when they are in the conference venue or when they are attending conference-affiliated activities outside of the conference venue. In addition, they may be asked to provide official photo identification (e.g. passport, student ID) confirming their age.
